Position Summary:
The Contract Assistant provides administrative and operational support to the Contract Administrator and project teams throughout the lifecycle of construction-related contracts and compliance activities. This role assists with the preparation, organization, tracking, data entry, and maintenance of purchase orders, subcontracts, change orders, insurance documentation, bonding requirements, lease agreements, and related project records.
The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced construction environment. This position requires strong communication skills, accuracy in data entry and document management, and a proactive approach to supporting contract administration and compliance functions.
Essential Duties and Responsibilities:
· Assist with preparation, issuance, tracking, and data entry of purchase orders, subcontracts, and related change orders.
· Maintain accurate contract, procurement, and compliance records within ERP systems and internal tracking logs.
· Coordinate with Project Managers, Procurement, Accounting, Subcontractors, Vendors, and Brokers regarding contract and document status.
· Support subcontract administration, onboarding, execution tracking, and collection of required compliance documentation.
· Track and maintain Certificates of Insurance (COIs), endorsements, renewals, and insurance compliance requirements.
· Assist with preparation, tracking, and filing of preliminary notices, bonding documents, and related compliance records.
· Maintain organized electronic and physical filing systems for contracts, lease agreements, project documents, and supporting records.
· Monitor document status throughout review and execution processes and follow up on outstanding items as needed.
· Prepare reports, status updates, and tracking logs related to purchase orders, subcontracts, insurance, bonding, and contract administration activities.
· Provide general administrative and document control support to the Contract Administration department while ensuring accuracy, organization, and timely follow-through.
Qualifications and Expectations:
· Associate’s degree or relevant administrative experience preferred.
· 1–3 years of administrative experience in construction, engineering, procurement, legal, contract administration, or document control environments preferred.
· Knowledge of Renewable EPC industry practices and organizational skills is preferred.
· Familiarity with construction documentation, subcontract administration, insurance tracking, compliance processes, or document control procedures is preferred.
· Experience using ERP systems is preferred.
· Proficiency in the redlining process in Microsoft Word, Excel and PDF formats.
· Effective teamwork, communication and interpersonal skills.
· Strong data entry, organizational, and document management skills with exceptional attention to detail and accuracy.
· Ability to work collaboratively with internal teams, subcontractors, vendors, brokers, and external partners.
· Exceptional attention to detail and talent for accuracy and precision.
· Willingness to learn construction contract administration processes, compliance requirements, and document tracking systems.
Salary Range: $60,000 - $85,000
